All bookings must be made through authorized channels of Bodhi Tours and Travel (website, email, or official representatives).
A non-refundable 25% advance is required to confirm any booking. (reschedule can be done)
The remaining balance must be paid before the trip commencement, as specified in the booking confirmation.
Accepted payment methods include bank transfer, credit/debit cards, and other approved digital payment systems.
Any bank charges, transaction fees, or currency conversion fees must be borne by the client.
Failure to complete full payment within the specified deadline may result in automatic cancellation of the booking.
Pricing and Inclusions
All prices are quoted in USD or NPR unless stated otherwise.
Prices include only the services specifically mentioned in the itinerary (e.g., accommodation, meals, guide, permits).
Prices do not include personal expenses such as beverages, laundry, tips, travel insurance, or additional services not listed.
Bodhi Tours and Travel reserves the right to revise pricing due to unforeseen circumstances such as government policy changes, inflation, or currency fluctuations.
Cancellation and Refund Policy
All cancellation requests must be made in writing (email or official communication).
Refunds will be processed based on the following structure:
30+ days before trip: Partial refund (excluding deposit and incurred costs)
15–29 days before trip: 50% of total cost retained
Less than 15 days before trip: No refund
Certain services such as permits, flights, and hotel bookings may be non-refundable regardless of cancellation timing.
No refunds will be issued for unused services once the trip has commenced.
Changes and Amendments
Clients may request changes to their itinerary; however, approval is subject to availability and feasibility.
Additional costs arising from changes must be borne by the client.
Bodhi Tours and Travel reserves the right to make minor adjustments to itineraries due to weather, safety concerns, or operational requirements.
Travel Insurance
It is mandatory for all clients to have comprehensive travel insurance covering:
Medical emergencies
Evacuation (especially for trekking and remote areas)
Trip cancellations and delays
Bodhi Tours and Travel shall not be liable for any costs arising due to lack of adequate insurance.
Health and Fitness Requirements
Clients must ensure they are physically and mentally fit for the chosen trip, especially for trekking and adventure activities.
Any pre-existing medical conditions must be disclosed at the time of booking.
The company reserves the right to deny participation if a client is deemed unfit, with no refund obligation.
Responsibilities of Clients
Clients must comply with local laws, customs, and regulations of Nepal.
Respect for local culture, environment, and fellow travelers is expected at all times.
Clients are responsible for safeguarding their personal belongings, travel documents, and valuables.
Liability and Risk Acknowledgment
Travel, especially trekking and adventure tourism, involves inherent risks such as weather changes, altitude sickness, and natural hazards.
By booking, clients acknowledge and accept these risks.
Bodhi Tours and Travel shall not be held liable for:
Natural disasters
Political unrest
Flight delays/cancellations
Personal injuries or loss not caused by company negligence
Force Majeure
Bodhi Tours and Travel shall not be responsible for failure or delay in performance due to events beyond its control, including:
Natural disasters
Government restrictions
Pandemics
Strikes or transportation disruptions
In such cases, alternative arrangements may be offered, but refunds are not guaranteed.
Permits and Documentation
Clients are responsible for obtaining valid passports, visas, and necessary travel documents.
Bodhi Tours and Travel will assist in arranging required trekking permits and entry fees, but delays due to government authorities are not the company's responsibility.
Guides and Staff Authority
All tours are conducted under the supervision of professional guides.
Clients must follow the instructions and decisions of guides, especially regarding safety matters.
The guide has the authority to modify or terminate a trip if necessary for safety reasons.
Complaints and Disputes
Any complaints must be reported immediately during the trip to allow for prompt resolution.
If unresolved, complaints must be submitted in writing within 7 days after trip completion.
All disputes shall be governed by the laws of Nepal.
